Terms of Service

Last updated: 27 October 2026 · Terms of Service · Privacy Policy

These terms govern the use of Ovelio, a hotel management platform (PMS, booking engine, website, channel manager, restaurant, staff and related tools) run by Ovelio. By creating an account or using the platform you accept them. If you use it for a hotel, you accept them for the hotel too and confirm that you may.

1. Accounts

  • Give true details and keep your password secret. Each account is for one person.
  • You are responsible for what happens with your account, including what AI apps or API keys you connect to it do.
  • An account whose e-mail address is never confirmed is deleted 7 days after sign-up.
  • We may suspend an account that breaks these terms or puts the platform's security at risk.

2. Hotels on the platform

A hotel is added to the platform after we approve it. Whoever asked for it becomes its admin: they invite the staff, set roles and remove access. The hotel decides who can reach its data.

Any fees and payment terms are agreed separately, in writing, with each hotel.

3. The hotel's data

The data a hotel enters (bookings, guests, bills, staff, job applications, newsletter recipients and so on) belongs to the hotel. For the personal data in it, the hotel is the controller and we are its processor (Article 28 GDPR).

The hotel is responsible for having a legal basis for what it enters and for informing its guests, employees and applicants (for example with its own privacy notice on its website and booking engine).

4. Processing data for the hotel

When we process personal data on a hotel's behalf, we:

  • process it only to provide the platform and on the hotel's instructions, as given through its settings and its use of the platform;
  • bind everyone with access to it to confidentiality;
  • keep appropriate security measures (HTTPS, encrypted secrets, role-based access, an activity log, daily backups);
  • use the sub-processors named in the Privacy Policy, tell the hotel about changes and let it object;
  • help the hotel answer requests from the people concerned, and tell it without undue delay about a data breach;
  • return (export) or delete the data when the relationship ends, unless the law requires keeping it;
  • provide the information needed to show compliance with Article 28.

5. Third-party services

Some features work through others: tax documents to myDATA through Wrapp, online payments into the hotel's own Stripe account, booking sites through Channex, newsletters through PostShiba, e-mail through Resend, sign-in and reading CV mailboxes through Google. Where the hotel needs its own account with them, it accepts their terms too. We are not responsible for their outages or errors.

The hotel stays responsible for its prices, the bookings it accepts and its tax documents, and checks what it issues through the platform.

6. AI features

The platform connects to AI assistants (such as Claude and ChatGPT) that act as the user who connected them, and reads CVs with Claude when the hotel uses recruiting. AI can make mistakes: every change is recorded in the activity log, and important actions should be checked by a person. CV scores are an aid, not a decision.

7. Acceptable use

  • Don't use the platform unlawfully or to infringe anyone's rights.
  • Send newsletters only to guests the hotel has a legal basis to e-mail; people who unsubscribe are never e-mailed again.
  • Don't try to reach other hotels' data, overload the platform or get around its security.
  • Don't resell or copy the platform without a written agreement.

8. Availability and changes

We work to keep the platform running and backed up, but we can't promise it will never be interrupted. We may change or improve features; when a change takes away something important, we tell admins beforehand where we can.

9. Liability

As far as the law allows, the platform is provided “as is”. We are not liable for indirect loss, lost profits or bookings, or for mistakes in data entered by users. Our total liability is limited to what the hotel paid us in the 12 months before the event. Nothing here limits liability for intent or gross negligence, or where the law does not allow it.

10. Ending

You can stop using the platform at any time and ask us to delete your account. A hotel's admin can ask us to close the hotel: we keep its data for 30 days so it can be exported, then delete it, except what the law requires us to keep. We may end access for a serious breach of these terms.

11. Changes to these terms

We may update these terms. For material changes we tell you by e-mail or in the platform before they apply. The date at the top shows the last change.

12. Governing law

These terms are governed by Greek law and the Greek courts have jurisdiction. Consumers keep the rights the law gives them regardless.
